Tracking and Reporting Visits
The office-bearer visit tracking feature in Church Social helps church leaders keep track of both past and upcoming member visits. This ensures that no family is overlooked, while also preventing the opposite problem where a family might go a long time without a visit and then suddenly receive multiple visits in the same week.
If you would like help enabling this feature, check out the Enabling the Visit Feature article.
Calendar view
Visits appear in the calendar for both the office-bearers going on a visit and the members receiving it. All visits are shown in teal. You can filter the calendar to display only visits and print them out or add them to a digital calendar, such as Google Calendar or Microsoft Outlook. When subscribing, you can choose to include all calendar items or only visits.
Office-bearers may find it useful to add their Church Social calendar to an external calendar like Google Calendar or Microsoft Outlook so that their visits appear there automatically.
Week view
Office-bearers can use the week view to quickly see all upcoming visits, whether scheduled by you or other office-bearers. Visits are colour-coded by type, such as home visits, diaconal visits, and new member visits.
Note: All pages in the Visits tab are accessible only to office-bearers.
Search and filter visits
Office-bearers can view filtered visits from the Search page, such as completed visits that are up for discussion during the next meeting, visits that were make in their district, and visits that were made by the deacons, elders, or pastor.
Church Social offers flexible privacy settings to ensure visits and notes are only visible to those who need access — especially helpful in sensitive situations.
Visit statuses
Visits in Church Social can have three statuses: Upcoming, Completed, and Reported. These statuses make it really easy to filter out visits that are not relevant to a meeting. During the meeting, once a visit has been discussed, it can be marked as Reported by any office-bearer. This helps office-bearers track which visits still need to be reported at future meetings, such as when an elder is absent and his visits must be reviewed later.
See who needs a visit next
The Families and People pages in the visit section of Church Social display recent visits to families or individuals. This makes it easy for office-bearers to quickly identify which families or individuals may be due for a visit.
Office-bearers can schedule visits from the page in the visit module as well as the calendar page and families page in the app.
Visit Reasons
There are 5 general reasons that office-bearers can choose from when creating a visit. These reasons help track the purpose of each visit and make it easier to notice patterns over time. For example, they can show whether elderly members are being cared for regularly or if all families have received home visits or diaconal visits. They are as follows:
- Home visit – Regular visits typically carried out by the elders.
- Spiritual care – Visits to members under discipline or in special need of extra care.
- Diaconal – Regular visits carried out by the deacons.
- Elderly check-in – More frequent visits to elderly members.
- Social/Casual – Visits without a specific reason, often just to build relationships.
Office-bearers can also choose special situations as a reason for a visit, such as the birth of a child, an upcoming baptism, or a marriage.
